    SC Plumbing use a 3rd party online job booking tool, ServiceM8 to organise our jobs, communications and invoicing.

    Our 3rd party job booking tool is defined as a Data Processor. Their responsibility is to abide by their own policies and all applicable data protection law and handle data as directed by us. They do not have any active role in handling customer data

    ServiceM8 have absolutely no rights to use it for marketing purposes or allow it to be used by others.

    Before engaging with our platform of choice, we did our own due diligence investigation into their policies, procedures and which sub-processors they themselves use.

    Third party service providers

    SC Plumbing may disclose a controlled amount of personal data as part of working with designated 3rd party service providers. These include our accounting firm, our website and I.T provider and their sub-processors. We limit exposure to customer data to a bare minimum to perform the required service, we limit the number of third party providers we deal with to a bare minimum.

    We perform our own due diligence of any 3rd party provider that may have access to customer information to satisfy ourselves of their compliance with the law and our policies on usage of our customer’s data. No 3rd party provider is permitted to use our customer personal data for any other reason than delivering a service to us, no selling it on.

    Law enforcement agencies, legal systems and regulatory authorities

    We may be required to disclose customer information in order to comply with any valid court order, legal process or police investigation.

    Marketing

    SC Plumbing may use information (like an email address) to offer very limited number of promotions or useful information bulletins to our customers.

    Any such activity would always come with an unsubscribe option to enable fully opting out from any marketing related communication. However we may still send out communications directly related to providing our agreed services to you.

    SC Plumbing will never allow any third party to access or use our customers data for marketing in any way.

    Security

    SC Plumbing have taken reasonable and significant precautions to ensure the safe handling of customer data within our business.

    We have engaged with I.T specialist to determine how we administer our business day-to-day in the 21st century. Our way of working was dictated by the principles of ideal systems use, the requirements of data protection and high expectations of customer service. When we started gathering customer data, we changed how we administer our entire business, our old habits were of no interest.

    As such we had a clean slate to design our systems and data usage to be simple, controlled and easy to secure.

    • Very limited number of devices authorised for SC Plumbing business use
    • Each device is encrypted, auto-locking, password protected, trackable and remote-wipeable
    • Excellent password control to all accounts and services relating to SC Plumbing
    • Strict internal policies controlling access to data, use of data, control of devices, passwords and physical data
    • Highly limited ‘on device’ storage of customer data, almost no customer data leaves our cloud based system other than to be archived as a backup on a secure server managed via our I.T provider. The devices we use day to day on jobs or in the office do not have our client database saved on them at any time.
    • Regular spot-checks and security reviews. We engage our I.T provider to spot-check our devices and digital activities and discuss findings in face to face meetings to identify any concerns in how we’re following our policies or areas of risk we have not yet addressed properly.
    • SC Plumbing has virtually no paper records of customer data at any time.

    Access to your information and retention of information

    If at any time you the customer want access to your data, to have it amended or deleted, we will comply within a maximum of 28 days of receiving a written request.

    We make no charge at all for the service and will endeavour to do this as quickly as reasonably possible.

    We reserve the right to retain a bare minimum of customer data in certain essential circumstances such as invoice records.
